Privacy Policy
Last updated: 15 June 2025
Cedarline ("we", "us", "our") is committed to protecting the personal data of individuals who contact us or use our services. This policy explains what data we collect, why we collect it, and how we handle it. It applies to all visitors to our website and to all individuals who engage with our estate document organisation and information services.
Our services are general-information and administrative in nature. We do not provide personal, financial, or any other individual guidance. This policy covers the personal data processed in connection with our website and service delivery only.
1. Who We Are
Cedarline is a document organisation and information service based at 96 Surat-Phunphin Road, Makham Tia, Surat Thani 84000, Thailand. We are the data controller for personal data collected through this website and through our service bookings. For privacy-related enquiries, please contact us at [email protected].
2. Data We Collect
Contact and booking data
When you submit an enquiry or book a service through our website, we collect your name, email address, and, optionally, your phone number and message. This data is used solely to respond to your enquiry and, where relevant, to arrange your service booking.
Website usage data
We may collect anonymised data about how visitors use our website — such as page views, time spent on pages, and general device type — to understand how the site is performing. This data is aggregated and does not identify individuals. It is collected via cookies, subject to your consent (see Section 6 below).
Session-related records
If you attend a Gentle Inventory Session, we may create administrative notes to support the session. These notes do not leave the session context and are not stored beyond the session itself.
3. Legal Basis for Processing
We process personal data on the following grounds under Thailand's Personal Data Protection Act B.E. 2562 (PDPA) and, where applicable, the EU General Data Protection Regulation (GDPR):
- Consent: for optional cookies and for receiving marketing communications.
- Legitimate interests: for responding to enquiries and improving our services, where these interests do not outweigh your rights.
- Contract performance: where data processing is necessary to deliver a service you have booked.
4. How We Use Your Data
- To respond to your enquiries and questions within one business day.
- To confirm and administer service bookings.
- To deliver membership materials to Family Keeping Members.
- To understand how our website is used and how we can improve it.
- To comply with any applicable legal obligations.
We do not use your personal data for automated decision-making or profiling.
5. Data Sharing and Third Parties
We do not sell, rent, or trade personal data. We may share data with third-party service providers who assist us in operating our website and delivering services — for example, email delivery services or analytics providers. These providers process data only on our behalf and under our instruction.
We may also share data where required by law, court order, or the instruction of a competent regulatory authority in Thailand.
6. Cookies
Our website uses cookies. Essential cookies are required for basic site functionality. Optional cookies (analytics and preference cookies) are placed only with your consent, which you can manage at any time via our Cookie Policy page.
7. Data Retention
We retain enquiry and booking data for up to 24 months from the date of your last contact with us, after which it is securely deleted. Anonymised website analytics data may be retained for longer. Session-related notes are not retained after the session ends.
8. Data Protection Measures
- Data in transit is protected by HTTPS encryption.
- Access to personal data is restricted to staff who need it to respond to enquiries or deliver services.
- We review our data-handling practices periodically to ensure they remain appropriate.
- In the event of a personal data breach, we will notify affected individuals and, where required, the relevant supervisory authority within the timeframes required by law.
9. Your Rights
Under the PDPA and, where applicable, the GDPR, you have the following rights in relation to your personal data:
- Right of access: to request a copy of the personal data we hold about you.
- Right to rectification: to ask us to correct inaccurate data.
- Right to erasure: to request deletion of your data where there is no longer a lawful basis for holding it.
- Right to restrict processing: to ask us to limit how we use your data in certain circumstances.
- Right to data portability: to receive your data in a commonly used, machine-readable format.
- Right to object: to object to processing based on legitimate interests.
- Right to withdraw consent: where processing is based on consent, you may withdraw it at any time.
To exercise any of these rights, please contact us at [email protected]. We will respond within 30 days.
You also have the right to lodge a complaint with the Personal Data Protection Committee (PDPC) of Thailand, or, where EU law applies, with the relevant supervisory authority in your country.
10. Third-Party Links
Our website may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to read their policies independently.
11. Children's Privacy
Our services are intended for adults aged 18 and over. We do not knowingly collect personal data from individuals under 18. If you believe a minor has submitted data to us, please contact us and we will delete it promptly.
12. Changes to This Policy
We may update this policy from time to time. When we do, we will revise the "last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of our website or services following an update constitutes acceptance of the revised policy.
